PetroBot Site Privacy Policy
Last updated: 17 June 2026
This privacy policy explains how PetroBot Technologies Pvt. Ltd. handles information in the PetroBot Site mobile application. The app is intended for authorized company employees and managed users who record, review and export site expense information.
This india version applies to users who access the app through the India release context. The app primarily stores data locally on the user's device. Data is shared outside the device only when the user chooses to export, open, or share a workspace file, or when a feature requires a network service such as map display or reverse geocoding.
Information the app handles
- Workspace and project names created by the user.
- Expense entries, including amount, purpose, category, date, payment mode, remarks and advance-payment information.
- Payment references saved by the user, such as UPI IDs, bank/card nicknames, bank names and last-four card digits where entered.
- Attachments added by the user, including payment screenshots, receipt images, invoice images and invoice PDF files.
- Text extracted from payment screenshots using on-device OCR to help auto-fill expense details.
- Optional location coordinates attached to an expense when location permission is granted.
- App settings such as language, theme, expert-mode settings and local preferences.
How the information is used
- To record, organize and review employee site expenses.
- To attach proof of payment, invoices and receipts to expense entries.
- To generate workspace exports, Excel reports, PDF attachments and password-protected workspace archives.
- To support internal audit, reconciliation and reimbursement workflows.
- To show expense locations on a map when location data is available.
- To maintain app preferences and local workspace state on the user device.
Location, camera and files
Location is optional. When the user grants location permission, the app may attach the current location coordinates to a new expense for audit and verification. If the user denies location permission, expenses can still be created without location data.
Camera, gallery and file access are used only when the user chooses to add screenshots, receipts, invoice images or PDF invoices. Attachments selected by the user are copied into app-controlled storage and can be included in exports.
Storage, backup and exports
Expense data is stored in a local app database on the device. Attachments are stored in app-controlled local file storage. Android backup is disabled for the app so employee expense data is not copied through standard Android app backup.
Users may export workspace data into reports or workspace archive files. Exported files can contain expense entries, attachments, OCR output, payment references and location coordinates where available. The user or company is responsible for protecting exported files after they are shared or stored outside the app.
Third-party services and sharing
- Google ML Kit text recognition may process screenshots on the device for OCR.
- Map tiles, reverse geocoding and external map links may use third-party map or geocoding services when map/location features are opened.
- Android system services, Google Play and device APIs may process permission, installation and diagnostic information according to their own policies.
- If a user exports or shares a workspace, the selected destination app or service receives the exported file chosen by the user.
User choices and controls
- Users can deny camera, file/media or location permissions, although related features may not work without those permissions.
- Users can add, edit and delete workspaces, expenses, attachments and payment references inside the app.
- Users can export workspace data and choose where to share or store the exported files.
- Users can clear app data or uninstall the app from Android settings, subject to company device-management policies.
Children
The app is not intended for children. It is designed for employee and company expense workflows.
India and global legal context
For India users, PetroBot handles personal data in line with applicable Indian law, including the Digital Personal Data Protection Act, 2023 where applicable to the processing activity.
